HCA Privacy Policy Statement

The Huntley Community Association (HCA) is committed to protecting the personal information of its board of directors, association members, volunteers and individuals who may provide their information during registration for one of our programs.

Personal information is any information that can be used to identify or contact a specific individual (e.g. name, email address, phone number, etc.). For individuals who are deemed not capable of consenting to the collection of their personal information, the HCA requires the consent of the individual’s parent, legal guardian, or substitute decision-maker.

Personal data is only collected when necessary and with clear intention and notification of the purpose for collection (e.g., Board operations, program administration, volunteer coordination, or communications).

Any personal information collected by the HCA about an individual shall be carefully protected. Any use or disclosure of an individual’s personal information is subject to the individual’s consent. This information will not be shared outside the Association unless required by law.

Personal information is accessible only to authorized board members or those acting on behalf of the HCA and have a need to know an individuals’ personal information.

When completing forms on our website, individuals may have the option of agreeing to receive emails from us. This correspondence may include our newsletter, information about our programs or services, and invitations to our events and/or other activities that may be of interest to the public. In addition, the HCA maintains a variety of lists (e.g., Board of Directors, HCA Membership, volunteers, sports participants, etc.).

The data we collect from you will be stored for no longer than necessary. The retention period will vary depending on its purpose and relevancy, and in a small number of cases, where prescribed by law or recommended by regulators.

If, at any time, an individual wishes to be removed from any of our records, they may do so by sending an email to the [email protected] or, by selecting the “unsubscribe” button available in some email communications.

Notification of this policy

  1. This policy will be posted on the HCA Website.
  2. All HCA communications will be governed by this privacy policy.

The HCA manages personal or private information with care and does not share this information with any other parties. This Privacy Policy is our first attempt to formalize and publish our policy, and may be updated as necessary.
